How do I know when I`ve got "Junk"?!

You should receive an email once a day to let you know if messages have been added to your junk mail folder. The email will come from "Postmaster" with a subject of "Junk E-mail report". It will look something like this:-


How do I check my junk mail and see the messages that have been "junked"?

There are two ways to check your junk mail:-

  1. Visit our web based email service at www.ph9mail.co.uk
    1. Log in with your email and password supplied to you in your welcome pack
    2. Once logged in, you will see a folder on the left called “Junk E-Mail”
      1. Note - if you can`t see this folder it will be because you haven`t received any junk mail yet. It will automatically be created the first time you receive junk mail
    3. Click on this folder and you will see a list of messages filtered as junk mail.

  2. View your junk mail in your normal email program



    1. Does the program you access your email look like one of the icons above?
    2. If so you can configure your program so that you can see your junk mail folder.
    3. The instructions are different for each type of email program. Click here to see the instructions for the email program you use.
    4. Note - if you can`t see this folder it will be because you haven`t received any junk mail yet. It will automatically be created the first time you receive junk mail


How do I stop emails going into my junk mail folder? (white listing)

If there is a message in your junk mail folder which is a valid email, and you want to make sure emails from this person never go into your junk mailbox, you can do this by adding them to your white list. Please follow the instructions on how to do this by clicking here.

About spam - and why messages get marked as spam.... and why it`s never 100% accurate

Please note - the reasons messages get marked as spam change all the time as spam trends change. So the below is just a basic guide.

We use SpamAssasin as a junk mail filter on our email servers. It is one of the world’s leading anti-spam products, and one of the most popular and proven. However no anti-spam software (unless it’s a human being) is 100% accurate unfortunately so sometimes you will get valid emails going into your junk mail folder. Our email server sends an email to you once a day letting you know which emails have been put into that folder so you’re aware though.

If you’re getting valid emails going into your junk folder, some of the most likely reasons for this (to name but a few) are:-

  • Their email name isn’t set as their real name (eg they’ve set their email name as MY COMPANY NAME rather than Dave Smith) - spam filters don’t like this unfortunately
  • The subject of their message is something that the spam filter things is spam like
  • The reputation of their domain name (eg myname.com) has a bad spam reputation

That’s just a few reasons though, there are tons of things that set spam filters off. The best thing to do if you keep getting the same person ending up in your junk mail folder is to add them to your white list. For instructions on how to do this, please click here.
